One record per client organisation, one per person, with the relationship between them held properly: who instructs, who pays, who must be copied and who left for a competitor last year. Group structures, related entities and historic names are kept, so a client who has been three companies is still one relationship.

Intake and conflicts

New enquiries logged the moment they arrive, from the website, a referral, an event or a WhatsApp message, with the parties involved recorded first. A conflicts check runs against existing clients, matters and adverse parties, and the result is stored with the enquiry so the decision to act or decline is evidenced rather than remembered.

Module 3

Matters and engagements

Every matter or engagement as a record: scope, fee arrangement, budget, responsible partner, team, key dates, status and outcome. Fixed fee, hourly, capped and retainer arrangements are held as they actually are, so a matter that is over budget says so while there is still time to talk to the client.

Module 4

Time and disbursements

Hours captured against the matter as the work happens, on a desktop or a phone, with narratives, rates by person and role, and non-chargeable time recorded rather than hidden. Disbursements and third-party costs attach to the same matter, so the bill is assembled from the record instead of reconstructed.

Module 5

Billing and collections

Draft bills produced from time and disbursements, sent for partner review, adjusted with write-offs recorded and explained, then issued. Payment status, ageing and collection chasing sit on the client record, and the finished invoice is passed to your accounting system rather than typed into it twice.

Module 6

Relationships and business development

Referrers, introducers, prospects, alumni and dormant clients on the same system as live work, with the last real contact visible on every record. Segments for a seminar invitation or a sector update are built from who you actually know, and the results come back to the relationship rather than to a marketing tool nobody opens.

Questions firms ask

Does it replace our accounting system?

No. It produces the bill from the time and disbursements on the matter and passes it to your accounting package, which stays the book of record. We connect the two so an invoice is created once and its payment status comes back to the client record.

How is client confidentiality handled?

By permissions on the record. Access is set by role, team and matter, so a person sees the matters they are on and nothing else, information barriers can be placed around specific clients or matters, and every view and change is recorded in a history you can inspect.

Can it handle fixed fees and retainers, not just hourly?

Yes. Fee arrangements are a property of the matter: hourly, fixed, capped, staged, retainer or a mix. Budget tracking works against whichever one applies, and the alert when a matter is running past its arrangement is the point of it.

Where do our documents live?

Wherever they live now. This is not a document management system and we will not pretend otherwise. We link the matter record to your document store so the file is one click from the timeline, and keep the matter facts, dates and correspondence in Yumin.

What does the firms edition cost?
