Chambers and trade bodies

Every member company, on one file.

A chamber serves companies, not just people, and the work is rarely one thing. Membership, document requests, trade delegations, business matchmaking, committees and an events calendar all attach to the same member company. The chambers edition of Yumin CRM keeps them on one file instead of six systems that never agree.

Company-first records The member is the company, with its licence details, sector, size, contacts and every request it has ever made. Requests tracked end to end Document and service requests move through a queue with a status the member can see. Delegations and events together Missions, exhibitions, forums and briefings run off the same member list.
What it is

The system a chamber or trade body runs on: member companies, services, requests, delegations, events and dues on one record.

What it is not

A government portal and not a licensing authority. It manages your side of the relationship with your members and connects to whatever official systems you already use.

Works with

Connect, Answer, Events and Social.

Sound familiar?

Three things we hear from chamber teams.

01

The company file is spread across desks

Membership holds one version, the services counter holds another, the events team keeps its own list of who attends, and the international desk has a spreadsheet of who travelled where. Nobody can open one screen and see everything a member company has had from you this year.

02

Members ring to ask where their request is

A document request comes in by email or at the counter, somebody works on it, and the member has no way of knowing what stage it is at except by calling. Your team spends the morning answering status questions that a message could have answered automatically.

03

Delegations are run out of inboxes

A trade mission means a nomination list, approvals, visas, payments, hotels, a programme and a follow-up report, and most of it lives in an email thread. When the same mission runs next year, none of the structure survives, only the exhaustion.

What is included

Six modules, configured before you log in.

Module 1

Member company register

Every member company as the primary record: trade licence details, legal form, sector, size, group relationships, branches, and the people inside it with their roles and authority. Membership category, join date, standing and the full history of status changes sit on the company, and the directory you publish is generated from it rather than kept beside it.

Module 2

Services and document requests

Requests raised at the counter, by email, on the website or over WhatsApp, and held in one queue with a type, an owner, a status and a due date. The member sees where their request is without calling, your team sees the backlog by service, and each completed request stays attached to the company file as part of its history.

Module 3

Subscriptions and dues

Annual membership fees by category and company size, raised on your cycle, with pro-rata joining, upgrades, grace periods and the schedule of reminders you choose. Payments reconcile against the company, receipts issue automatically, and standing is updated without a manual sweep before the board meeting.

Module 4

Trade delegations and missions

Missions, exhibitions and inbound visits as structured events: nomination and selection, approvals, participant lists, costs and payments, the programme itself and the report afterwards. Who travelled, on which mission, in which year, becomes a field on the company record rather than a memory.

Module 5

Events, forums and training

Your calendar of briefings, sector forums, networking evenings and training, run off the member register so eligibility and pricing are known in advance. Attendance posts back to the company and the individual, so you can see which members are engaged and which have not walked through the door since they joined.

Module 6

Committees and reporting

Sector committees, business councils and working groups with their seats, terms and papers, plus the reporting your board and your stakeholders expect: members by sector and size, joiners and leavers, services delivered by type, delegation participation and event attendance, produced from the live data.

Five things that run themselves on WhatsApp

Illustrative. These are the five workflows we set up most often for a chamber. Yours are configured to your own services, categories and wording before go-live.

A service or document request is logged

An acknowledgement with the reference number and what happens next, from your official number.

The request changes status

A short update, so nobody has to ring the counter to find out where it is.

The request is ready

A collection or download notice, with the hours and the desk, and the record closed against the company file.

30 days before the subscription date

The renewal notice with the category, amount and payment link, then one reminder if it is unpaid.

A delegation or forum opens for nomination

An invitation to the member companies that qualify, with the deadline and a reply route to a person.

Every row is a rule you can change, switch off or add to. Nothing sends without your templates being approved first, and a member's reply comes back to a person in the shared inbox.

Add the parts your members touch every week.

See the Community OS bundle

Yumin Connect puts the services counter on one official WhatsApp number with a shared inbox. Yumin Answer handles the routine questions about hours, fees and documents out of hours. Yumin Events runs the forum and the exhibition, and Yumin Social keeps the chamber visible between them.

Questions chambers ask

Can members raise requests themselves?

Yes, through a member area, your website or a WhatsApp flow, and at the counter as well. However it arrives, it becomes the same record in the same queue, so your reporting covers everything rather than only the digital half.

Can it connect to the systems we already have to use?

Where those systems have an interface, yes, and our team in Dubai does that integration work. Where they do not, we keep the human step but hold the request, its status and its history in Yumin so nothing depends on one person's inbox.

How does it handle a company with many branches?

As a group. The parent company, its branches and the people in each are separate records with the relationship held between them, so you can price membership at group level while tracking requests and attendance at branch level.

Can we keep our own membership categories and fee structure?

Yes. Categories, tiers, company-size bands, sector rates, joining fees and any special arrangements are configured to yours. We do not ask a chamber to adopt a fee structure because the software prefers it.

What does the chambers edition cost?

Get a quote. It depends on the size of your register, how many staff need a login, which of the six functional clouds you switch on and the migration and integration work involved. Build the shape in the calculator and send it on WhatsApp for a written quote the same day.

One file per member company, and everyone can see it.

Tell us roughly how many member companies you serve and which services you run. We come back the same day with how we would configure the chambers edition and a written quote.
