Nobody can say how many members you have

The finance list, the mailing list and the committee list disagree, and each has a defender. Lapsed members are still receiving notices, paid members are missing from the directory, and the number in the board pack is whichever one was easiest to produce that week.

Renewals are a season, not a process

Every year the same few people spend weeks sending the same reminders by hand, chasing transfers, matching payments to members and answering "have you received it?" one message at a time. The work is enormous and none of it is remembered next year.

The AGM lives outside everything

Registration happens in a separate tool, attendance never makes it back to the member record, and nobody can see afterwards which members turned up, which committee they sit on and whether their dues are current, without exporting three files and joining them by hand.

Module 1

Membership register

Every member as a record: individuals, member organisations and the people inside them, with category, grade, join date, status, chapter, region and the full history of what they have been. Lapsed, suspended and honorary states are held properly rather than implied by a blank cell, and the directory your website shows is generated from the register rather than maintained beside it.

Module 2

Dues and renewals

Dues raised on your own cycle, whether that is a common renewal date or a rolling anniversary, with pro-rata for joiners, categories that price differently and grace periods you define. Reminders go out on WhatsApp and email on a schedule, payments reconcile against the member record, and receipts are issued without anyone typing a name twice.

Module 3

Chapters and committees

Chapters, branches, regions, boards, working groups and technical committees, each with its seats, terms, office holders and papers. A member's committee service sits on their record with start and end dates, so you can answer who sat on what, in which year, without opening an old minute book.

Module 4

Events and CPD

Your AGM, conference, chapter meetings, training and continuing professional development, built off the member list so pricing, eligibility and attendance are known in advance. Attendance and credits post back to the member record, which means a member's CPD position is a field rather than an annual reconstruction.

Module 5

Member communication

Segments built from the register itself — a category, a chapter, everyone unrenewed after a date, everyone who attended last year — and sent as WhatsApp templates or email. Replies land in the shared inbox on your official number, against the member they came from, so the secretariat sees the conversation and the record together.

Module 6

Reporting and the board pack

The numbers your board asks for, produced from the live register: membership by category and chapter, joiners and leavers, retention, dues raised and collected, event attendance and committee participation. Built once, refreshed whenever you open it, and the same for everyone who opens it.

Questions associations ask

Can it handle both individual and organisational membership?

Yes, and the relationship between them. A member organisation is a record, the people inside it are records, and their seats, voting rights and communication preferences belong to them rather than to the company row. When someone moves employer, their history follows them.

What happens to our existing membership data?

We migrate it. Spreadsheets, an old membership system, exports from your finance package, whatever you have. We clean and match it, show you a sample to check before anything goes live, and keep the historic states rather than flattening everyone into current members.

Can members update their own details?

Yes, through a member area or by replying on WhatsApp, with changes either applied directly or queued for the secretariat to approve, depending on the field. Contact details are usually self-service, category and grade are not.

Does it replace our accounting system?

No, and it should not. It raises dues, records what was paid and against which member, and reconciles the register. Your accounts package stays the book of record for the finances, and we connect the two so nobody rekeys an invoice.

What does the associations edition cost?
